Buying priorities
Start with the data you need to restore, then check device coverage, separation from the main device and the practical recovery process.
| Priority |
What to check |
Your needs |
| Recoverability |
Check that the route creates a separate copy and has a documented restore method. Review version retention and how individual files can be recovered. |
I need a copy that can be restored when the original device or file is unavailable, rather than a second folder that may have been overwritten. |
| Automatic coverage |
Confirm whether backups are continuous, scheduled or manual. Check operating-system support, phone coverage, selected folders and exclusions. |
My photos, documents, computers and phones should be covered without relying on everyone remembering manual copies. |
| Separate location |
Keep at least one copy away from the main device or home. Disconnect a local backup when it is not in use, and secure cloud accounts with strong credentials and available multi-factor authentication. |
I want one copy that is not exposed to the same device failure, theft, fire or connected-drive ransomware incident as the main computer. |
| Capacity and retrieval |
Calculate storage against the existing library, expected growth and retained versions. Check subscription allowances, renewal terms and whether recovery depends on downloading from the internet. |
I need room for current photos and documents as they grow, while knowing whether storage is a one-off purchase or an ongoing subscription. |
| Privacy and access |
Verify encryption or password protection for the exact model. For shared NAS storage, check user accounts, folder permissions and recovery-key arrangements. |
I want private photos and household documents protected if a portable drive is lost or several people use shared storage. |

Frequently asked questions
Is cloud sync the same as a backup?
No. Apple distinguishes syncing from backup: synced iCloud data is kept up to date across devices, while iCloud Backup takes snapshots of data that is not already syncing. Sync or mirroring can still be useful, but check version history and keep an independent copy because edits or deletions can also be reflected elsewhere.
Should an external backup drive stay plugged in all the time?
Not if it is your only separate backup. The National Cyber Security Centre says ransomware incidents have affected connected USB and network drives holding backups, so keep at least one backup offline or digitally disconnected when it is not in use. If automatic local backup is important, add a separate off-site or cloud copy rather than relying on a permanently connected drive alone.
Will iCloud or Google automatically back up all household photos and documents?
Only when the relevant backup or sync features are enabled and the item is within the service's coverage rules. Apple says iCloud Backup includes data not already syncing to iCloud, while Google Photos backup uses one Google Account and has file-size and format conditions. Check the account, allowance, selected phone folders and separate computer-file backup arrangement.
Do UK GDPR rules apply to a personal family backup?
For a purely personal or household activity with no professional or commercial connection, the Information Commissioner's Office says the activity is outside the UK GDPR's scope. This does not automatically apply where the backup is used for business, professional or commercial purposes.
Is encryption useful for a portable backup drive?
Yes, particularly if the drive could be lost or stolen. The Information Commissioner's Office says encryption is especially effective at protecting stored information from unauthorised access in that situation. Store the password or recovery key safely and separately, because losing it can also prevent access to important files.
