Who needs a separate copy?

A separate backup matters when losing access to a synced account or a local device could leave you without the originals you need.

Households with valued photo libraries

If family photos and videos live mainly in iCloud Photos, OneDrive or a similar synced service, keep an archive outside that synchronisation path. Apple Support describes an iCloud archive as an additional copy, while Microsoft Support describes OneDrive as syncing files between a computer and the cloud.

People with large libraries who need local access

If you want to open photos and files without depending on an internet connection, check that you can export the originals and store them on a drive with room for the library to grow. Google Account Help provides an export-and-download route for data held in supported Google services.

Multi-device households prepared to manage storage

A network-attached storage device, or NAS, can give several devices a shared local backup destination. Synology describes versioned backups and multiple destinations through Hyper Backup, but the household still has to manage the NAS and keep a separate copy beyond the home if site-wide loss is a concern.

What should you check before choosing?

Start with whether the copy is independent and restorable. Then match capacity, transfer routine and ongoing management to the size of your library.

PriorityWhat to checkYour needs
Copy independence Confirm that exported originals or backup files reside outside the primary sync folder. Check how to retrieve a deleted or earlier version. I want a copy I can still reach if an edit, deletion or account problem affects my synced library.
Capacity Measure the library you intend to copy. Allow for growth and any backup versions, then check usable drive space after formatting. My photos, videos and other files need to fit now without leaving the next backup incomplete.
Transfers and devices Check the drive interface, computer port, cable and file-system compatibility. A USB-C connector alone does not establish transfer speed. If I copy large batches regularly or carry the drive between devices, transfer time and compatibility matter to my routine.
Cloud retention and restore Check version retention, what happens when payment stops, and how a full restore works over your connection. Backblaze says its standard version-history limit is 30 days unless an extended option is selected; continued non-payment can result in deletion of backed-up files. I need an older usable copy to remain available long enough to notice a problem, and a way to retrieve the whole library.
Local-copy security Decide where to keep and when to disconnect the drive. If using password protection or encryption, check how you will retain access credentials. A portable copy helps me access files locally, but I also need to protect it from loss and avoid locking myself out.
Shared storage For a NAS, plan who will manage disks, updates, accounts and restores. Check its additional backup destination; a device in the same home is not an off-site copy. Several devices need a shared destination, and someone in the household can maintain it.

Common backup mistakes

  • Assuming sync status means you have an independent backup

OneDrive syncs files between a computer and the cloud, according to Microsoft Support, while Apple Support says iCloud Photos keeps a library up to date across enabled devices. Changes to a synced library can therefore affect what you see elsewhere.

Export or back up the originals to a separate destination, then open a selection of files from that copy to check you can retrieve them.

  • Choosing a drive by its connector or quoted speed alone

USB-C identifies the connector, not the transfer rate available from your computer and cable. A drive can also run short of space as the library grows.

Check the interface at both ends, the included cable, device compatibility and capacity against the files you will actually copy.

  • Expecting a cloud subscription to retain files indefinitely

Backblaze says a lapsed subscription stops backups and continued non-payment can result in backed-up files being deleted. Its standard version-history limit is 30 days unless an extended option is selected.

Before changing or cancelling a service, check its current retention and restore terms, complete another copy and test that you can use it.

  • Leaving the only backup beside the computer

A local drive and computer kept together remain exposed to the same incident. US Federal Trade Commission consumer guidance recommends disconnecting a backup drive after use.

After checking that a backup completed, disconnect and store the drive securely. Add a separate off-site copy if a home-wide loss is a concern.

Relevant brands and services

These examples illustrate different storage and backup approaches; a brand name alone does not establish that a particular device or plan fits your library.

Samsung

Samsung’s portable T7 Shield SSD line is relevant when you want to carry a local copy and transfer files between compatible devices.

  • Samsung UK identifies USB 3.2 Gen 2, password protection and water- and dust-resistance features for its listed 2TB T7 Shield variant.
  • A quoted transfer speed is not the speed every computer, cable or file workload will achieve. Check capacity against the full library before choosing a variant.

Seagate

The Backup Plus Portable hard-drive line is a capacity-led route to a local copy.

  • Seagate UK describes plug-and-play backup use, and its support material identifies a 5TB portable variant.
  • A drive kept locally does not provide an off-site copy. Check the exact model’s formatting and backup workflow for your devices.

Synology

Synology’s NAS ecosystem suits households prepared to maintain a shared local destination and its backups.

  • Synology describes multiple backup destinations and versioned backups through Hyper Backup.
  • A NAS still needs disk, account and update management; keeping it at home does not make its contents off-site.

Backblaze

Backblaze Personal Backup is an automatic cloud-backup route for a computer and eligible connected external drives.

  • Backblaze says its personal plan covers user-generated data on computers and connected external drives, subject to the plan’s conditions.
  • Backblaze says backups stop when a subscription lapses and continued non-payment can lead to deletion. Check version retention and restore arrangements before relying on the service.

Apple

Apple’s iCloud Photos guidance is relevant when an Apple-device household needs an archive separate from its synchronised library.

  • Apple Support provides instructions for making an archive or additional copy of information stored in iCloud.
  • iCloud Photos keeps a library up to date across enabled devices; confirm that downloaded originals are stored independently before treating an archive as your separate copy.

Local storage options on Joybuy

These external hard drives and portable SSDs are options for keeping a local photo and file copy. They do not, on their own, provide the separate off-site copy discussed above; choose capacity against your library and check that you can use the drive with your devices.

Blue Western Digital My Passport Ultra portable hard drive, 5TB

Western Digital My Passport Ultra 5TB, Blue

A portable external hard drive to consider for a capacity-led local copy of photos and files. Check whether 5TB allows for your library and growth, and confirm the file-system setup required by your devices; keep another copy separately if home-wide loss matters.

Backup questions answered

Is a synced cloud folder a separate backup?

Not by itself. Microsoft Support says OneDrive syncs files between a computer and the cloud, and Apple Support says iCloud Photos keeps a library up to date across enabled devices. Keep an exported archive or another backup outside that sync path, then check that you can open its originals.

How much external-drive capacity do I need?

Measure the photos and files you will copy, then allow space for growth and any versions you plan to retain. Compare that requirement with usable capacity after formatting rather than choosing solely from the drive’s labelled capacity.

Why test a restore if the backup says it completed?

A completed copy does not show that you can find and use the files you need. Restore a small folder and some original photos, and check any passwords, file formats and version-recovery steps before you have to rely on them.

What should I do before ending a cloud-backup subscription?

Make and test another copy, then check the provider’s current cancellation, retention and restore terms. Backblaze says a lapsed subscription stops backups and continued non-payment can result in deletion of backed-up files, so do not assume a remote copy will remain accessible after payment stops.

Can a NAS replace an off-site cloud backup?

A NAS can be a shared local backup destination, but one kept in the same home remains exposed to a home-wide incident. Synology’s Hyper Backup supports multiple destinations and versions; if you use a NAS, plan a separate off-site destination when protection from local loss matters.
