Who needs which backup approach?

The useful distinction is what you need to recover: a working replacement device, particular files, or a second route to irreplaceable material.

People setting up a replacement device

If a phone or PC is lost, damaged or replaced, you want files and supported settings available through the account ecosystem you already use. Apple, Google and Microsoft each document backup and restore routes, but their coverage differs.

People keeping a separate local copy

If you have photos, videos or computer folders to copy, a physical drive gives you another storage location. The National Cyber Security Centre advises keeping a backup separate from the original data; you still need to select the files and check that you can restore them.

People protecting difficult-to-replace files

If losing particular photos or documents would be especially disruptive, you may be willing to maintain both an account-based copy and a separately stored local copy. Check the contents of each rather than assuming the two routes protect identical files.

What matters when choosing a backup?

Decide whether your priority is restoring a replacement device or recovering selected files. Then check what the chosen service or storage device will actually copy, and practise retrieving a file before you need it.

Cloud backup

Consider it when: You want a route for restoring supported data through your existing Apple, Google or personal Microsoft account.

Accept the limit: Account access, available storage, included data and the replacement device all affect what you can restore.

External SSD or hard drive

Consider it when: You want a separately stored copy of computer folders or a substantial collection of personal files.

Accept the work: A drive provides storage; you must set up copying or backup software and keep the resulting copy usable.

USB flash drive

Consider it when: You intend to keep a deliberately selected set of essential files on removable media.

Accept the limit: It will not capture files you never copy or provide an assumed full-device restore.

Cloud and local copies

Consider it when: Important files merit both an account-based route and a separately stored copy.

Accept the work: You must maintain account access and storage as well as the local copying and restore routine.

Concern What to check Who this matters to
Replacement-device restore Confirm the account and operating system, the last successful backup and whether the replacement device can restore the data you need. If I replace my phone or PC, I want supported files and settings ready through an account I can access. Around 33% of consumers put replacement-device restoration first.
Recovery after deletion or damage to files Check whether older or deleted versions can be retrieved and whether an independently stored copy covers your important files. An unwanted deletion or change could reach my current files, so I need a way back to an earlier copy; for around 25% of consumers, that recovery need comes first.
A separate local copy Check capacity, connectors and device compatibility, then confirm which folders the copying routine includes. My photo, video or computer-file collection needs a physical copy I can keep away from the main device. That local-copy need is the priority for around 25% of consumers.
Selected-file simplicity List the files to copy and check the removable device’s connector, capacity and any protection needed for sensitive files. I only need to put chosen documents or photos somewhere separate, without assuming I can rebuild the whole device. Around 17% of consumers primarily want that selected-file approach.

Backup mistakes to avoid

  • Assuming synchronised photos mean the whole device is backed up

Apple says iCloud Photos synchronises separately from the daily iCloud Backup. Other data or unsupported apps may therefore need a different restore route.

Make a list of the photos, files, messages, app data and settings you would need after replacement. Check each category in your provider’s backup details and try restoring a non-critical item where practical.

  • Assuming an external SSD backs up a computer automatically

Drive capacity and transfer speed do not show which folders have been copied. Microsoft’s File History can make recurring copies of included folders to an external drive, but it must be configured.

Choose the folders deliberately, set up a suitable copying routine and test retrieving a non-critical file from the drive.

  • Assuming every USB device offers the same encryption

SanDisk distinguishes software-encrypted vaults from hardware drive locking and says its hardware-encryption drive locking is not supported on USB flash drives or memory cards. Supported functions also depend on the device and operating system.

Check the exact model and host device, how password protection works, and how you would retain any recovery information before storing sensitive files.

  • Choosing an SSD by its headline transfer speed alone

Samsung says the stated maximum speeds for its Portable SSD T7 require a USB 3.2 Gen 2 host, a supporting cable and UASP mode.

Check your computer’s port and the connection you will use. Give backup coverage, compatibility and the restore process equal attention before choosing a drive.

Relevant brands and services

These names represent different account-based backup services and local-storage product lines, not interchangeable ways to restore an entire device.

Apple

iCloud Backup is a route for restoring supported iPhone or iPad information after replacement, loss or damage.

  • Apple documents manual and automatic iCloud Backup; automatic backup requires power, Wi-Fi and a locked screen.
  • Apple says iCloud Photos synchronises separately rather than appearing in the daily iCloud Backup. Apple also states that UK users who have not already enabled Advanced Data Protection can no longer newly enable it for categories including iCloud Backup and Photos.

Google

Google Account backup provides an account-based restore route for supported Android data.

  • Google documents restoring backup information to the original or some other Android phones.
  • Google says restoration varies by phone and Android version, and not all apps restore every setting or item. Google Account storage is shared across Photos, Drive and Gmail, so check the available space together.

Microsoft

Windows Backup and OneDrive can help personal-account users carry selected files and settings to another Windows PC.

  • Microsoft documents backing up selected folders through OneDrive and using File History for recurring copies to an external drive or network location.
  • The consumer Windows Backup flow uses a personal Microsoft account rather than a work or school account. Check which folders are selected and the recovery options attached to your OneDrive plan.

Samsung

Samsung portable SSDs are local-storage options for a separately maintained file copy.

  • Samsung lists USB 3.2 Gen 2 performance for the Portable SSD T7 when the host, cable and operating mode meet its stated conditions.
  • Transfer specifications do not establish backup coverage. Samsung says the T7 Shield’s resistance ratings were tested under controlled conditions and that liquid or dust damage is not covered by its warranty.

SanDisk

SanDisk portable SSDs and USB products offer local-storage choices whose protection features need model-specific checking.

  • SanDisk documents software-encryption options for supported USB flash drives and portable SSDs on Windows or macOS.
  • SanDisk says hardware-encryption drive locking is not supported on USB flash drives or memory cards, and some functions are unavailable on iOS or Android.

Questions about restoring personal files

Is cloud synchronisation the same as a complete device backup?

No: synchronised content and a device backup can cover different things. Apple says that, when iCloud Photos is enabled, photos and videos synchronise to iCloud rather than being included in the daily iCloud Backup. Check which files are synchronised, which are backed up and what you could restore to a replacement device.

Can I restore an Android backup to any replacement phone?

No. Google says restoration varies by phone and Android version; a backup from a higher Android version cannot be restored to a phone running a lower version. Not all apps back up or restore every setting and item, so check the data you particularly need before changing phones.

Can I encrypt an external USB drive with BitLocker?

Microsoft documents BitLocker Drive Encryption for Windows Pro, Enterprise and Education editions with administrator access, including BitLocker To Go for removable drives. Windows Home does not offer that BitLocker management route. Keep the recovery key separately: Microsoft says it cannot retrieve or recreate a lost key.

Can a new UK iCloud user enable Advanced Data Protection for iCloud Backup?

No. Apple states that UK users who have not already enabled Advanced Data Protection can no longer turn it on, and names iCloud Backup among the categories that cannot newly receive that protection in the UK. Check your existing account settings rather than assuming the option is available.
