What to check before ordering
Start with the cups needed during each break, then match the drinks, equipment and staffing to that service window.
Instant jars and hot water
Choose when: the main offer is standard coffee for a busy break and a hot-water station can be organised.
Allow for: manual portioning, cups, stirring utensils and any milk or other additions.
Domestic pod machines
Choose when: a smaller, hosted point needs individually prepared drinks and suitable machines are in place.
Allow for: machine-specific capsules, one-drink-at-a-time preparation and used-pod handling.
Professional single-serve systems
Consider when: a venue needs a managed drinks offer for recurring meetings or conferences.
Allow for: a supplier assessment of capacity, replenishment, maintenance and cleaning responsibilities.

What to check |
Your needs |
| Break-time capacity |
Estimate cups per break and minutes available. NESCAFÉ UK & IE states a standard instant-coffee mug uses 1.8 g with 200 ml water; check water provision and portions. For machines, confirm their capacity with the venue or supplier. |
I need the coffee point to handle the expected rush without assuming that one pod machine can cover the whole break. |
| Drink choice |
List the drinks required, including any decaf, espresso-style or milk-style options. Match each planned drink to the actual product and preparation equipment. |
A choice of drinks matters for this event, but I do not want to order varieties that the station cannot prepare. |
| Machine compatibility |
Record the exact venue machine model and permitted capsule format. Nespresso UK distinguishes Original and Vertuo; TASSIMO UK says its official T DISCs fit TASSIMO machines. |
If I am using the venue’s machines, I need capsules that fit those machines—not simply pods from a familiar brand. |
| Ingredients and allergens |
Keep current ingredient information for drinks and additions. GOV.UK/Food Standards Agency and Food Standards Scotland guidance requires food businesses to provide allergen information for prepacked and non-prepacked food and drink. |
When my venue or organiser is serving as a food business, attendees need accurate information about the drinks and additions offered. |
| Used-pod collection |
Check the venue’s route for the specific used pods before arranging a collection point. Podback provides a Recycle Checker for finding where and how its accepted pods can be recycled. |
If we serve pods, I want staff to know where the used capsules should go during and after the event. |

Conference coffee questions
How many mugs should I plan for from an instant-coffee jar?
Start with a serving measure for the particular coffee. NESCAFÉ UK & IE states that 1.8 g of its instant coffee with 200 ml water is a standard mug serving, giving approximately 55 mugs from a 100 g jar or 111 from a 200 g jar. Allow for guests using different portions, cup sizes and more than one break; do not apply those jar yields automatically to a different product.
Will any coffee pod fit the venue’s machine?
No: check the exact machine system before ordering. Nespresso UK separates Original and Vertuo, while TASSIMO UK says its official T DISCs fit TASSIMO machines. Do not assume capsules for one system fit another.
What allergen information is needed at a conference coffee point?
If the organiser or venue is operating as a food business, keep accurate allergen information available for the food and drink served, including relevant capsules and additions. GOV.UK/Food Standards Agency guidance for England, Northern Ireland and Wales and Food Standards Scotland guidance require allergen information for prepacked and non-prepacked food and drink; the GOV.UK guidance also addresses staff allergen training. Keep current packaging or supplier ingredient details accessible to those serving attendees.
Can used coffee pods go in the venue’s ordinary recycling bins?
Do not assume they can. Podback directs users to its Recycle Checker to find where and how their pods can be recycled. Confirm a route for the pods being served before promising collection, then brief staff on the designated receptacle.
What should be checked at a self-service hot-water station?
The responsible business should assess risks for the actual station and put appropriate controls in place. The Health and Safety Executive’s catering guidance calls for workplace risks to be managed through risk assessment; consider hot-water equipment placement, spills, electrical equipment and the level of staff oversight needed for the venue.
