Who is this for?

Students editing work across devices

If you move between a home computer, a campus device and a phone or tablet, cloud sync can keep current files accessible. Microsoft and Google explain that synced edits and deletions can also appear elsewhere, so keep a separate backup of work you need to recover.

Remote students with large project files

Video, design, audio and other large coursework folders make capacity, transfer connections and portability worth checking. Samsung’s stated T7 Shield transfer speeds require a compatible host and cable; a drive’s headline speed alone does not tell you how it will perform with your computer.

Students handling identifiable or confidential material

Research, placement or group work may contain information about identifiable people. The Information Commissioner’s Office defines this as personal data. Check your university’s approved storage and sharing instructions before putting such files in a personal cloud account or on a removable drive.

What matters when choosing storage?

Decide how you will access current files, then choose a separate copy you can restore if the working folder or account becomes unavailable.

Priority What to check Your needs
Access across devices Check which devices can use the account, whether sync has completed, and whether files must also be available offline. Microsoft and Google say changes to synced files can appear across locations. I edit assignments on more than one device and want the current working file available without carrying a drive between them.
Independent recovery Keep a copy separate from the synced working folder. Check the backup schedule and practise restoring a file. The National Cyber Security Centre warns that ransomware has affected connected USB and network backup drives. If I delete a folder or lose access to my main device, I need a copy I can still restore.
Portable transfers Check the drive’s capacity, connector, computer port and cable. Samsung says the T7 Shield’s stated maximum speed requires a USB 3.2 Gen 2 host and cable with UASP enabled. Large project folders travel with me between study locations, so the drive needs to work with the devices I actually use.
Routine local backups Check that the drive has room for the folders and older copies you intend to retain, and that its backup software works with your computer. Seagate describes hourly, daily, weekly and monthly scheduling for its Backup Plus portable line. I would rather schedule copies of coursework than rely on remembering to transfer each changed file by hand.
Shared home storage For NAS, plan who will manage accounts, updates and backup jobs, as well as a separate destination. Synology says Hyper Backup can run manually or on a schedule to local, remote and public-cloud destinations. Several people or devices at home need shared local storage, and someone can maintain it.
Privacy and permissions Check university-approved services, course instructions and who can open shared files. The Information Commissioner’s Office notes that cloud files sit on servers controlled by the provider. My work includes participant, placement or other identifiable information, so I need to know where it may be stored and who may access it.
Temporary hand-off Check that both devices accept the USB stick and follow any university rules for removable media. Keep the working file and an independent backup elsewhere. I only need to move a copy for printing or presenting, not make the stick my sole coursework archive.

Backup mistakes to avoid

  • Treating a synced folder as the only backup

Microsoft and Google say edits and deletions can be reflected across synced locations. That makes sync useful for current work, but a mistaken change may reach the other devices you expected to protect it.

Keep a distinct backup copy and periodically restore a test file. Keep at least one backup disconnected when it is not in use.

  • Leaving the backup drive connected all the time

The National Cyber Security Centre has seen ransomware encrypt both original data and connected USB or network backup drives.

After a backup finishes, confirm it completed and safely disconnect the external drive when practical. Do not make a permanently connected drive your only recovery copy.

  • Choosing an SSD by its headline speed alone

Samsung says the T7 Shield’s stated maximum sequential speeds require a USB 3.2 Gen 2 host, a compatible cable and UASP. Your computer’s connection is therefore part of the decision.

Check the ports on the devices you will use and the cable supplied with the drive before choosing on transfer speed.

  • Putting identifiable work in an unapproved personal account

The Information Commissioner’s Office defines personal data as information relating to an identified or identifiable person and notes that cloud files are held on provider-controlled servers. Sharing settings and the university’s rules matter for research or placement files.

Check the module instructions and university IT or data-management guidance. If the permitted location is unclear, ask the relevant course or data-protection contact before uploading the files.

Relevant brand references

Samsung

Samsung’s T7 Shield is an example of a portable SSD for carrying a local copy of large coursework files.

  • Samsung states sequential read and write speeds of up to 1,050 and 1,000 MB/s for the T7 Shield.
  • Samsung says those maximum speeds require a USB 3.2 Gen 2 host, compatible cable and UASP. Its environmental-resistance claims do not replace another backup copy.

Seagate

Seagate’s Backup Plus portable line illustrates the external-hard-drive route for scheduled local copies.

  • Seagate describes backup scheduling by the hour, day, week or month for that line.
  • Check the capacity, connector and backup software of the particular drive you are considering rather than assuming every Seagate model has the same features.

Synology

Synology provides a NAS route for homes that want shared local storage and can manage the setup.

  • Synology documents manual and scheduled Hyper Backup jobs to local folders, remote servers and public clouds.
  • A NAS in the home still needs account management and a separate backup destination.

Microsoft OneDrive

OneDrive is a cloud-sync option for active coursework, including where a university provides a managed account.

  • Microsoft says additions and changes in the OneDrive folder are reflected on its website and vice versa.
  • Microsoft says deletions are reflected too. Check the university’s account and sharing rules, and keep an independent backup.

Google Drive

Google Drive is another cloud-sync route for coursework used across devices.

  • Google says changes to streamed or mirrored files on one device are reflected elsewhere.
  • Mirrored files use local device storage. Check sharing permissions and whether the account is approved for the files involved.

Common questions

Is cloud sync the same as a backup?

No. Microsoft and Google say changes and deletions can be reflected across synced files and locations. Use sync to access current coursework, but keep a distinct copy you can restore; the National Cyber Security Centre also warns that connected backup locations can be affected during ransomware incidents.

Should I choose a portable SSD or hard drive for coursework?

Consider an SSD if you frequently carry and transfer large files, checking that your host and cable support the interface behind any stated speed. Consider a portable hard drive for routine local backups, checking its capacity and backup-software compatibility. Neither drive should be the only copy of important coursework.

Can I put university coursework in my personal cloud account?

Check your university’s storage and sharing rules first, especially for participant, placement or other identifiable information. The Information Commissioner’s Office says cloud files are stored on provider-controlled servers; a service that works for personal notes is not automatically an approved place for course data.

Does UK GDPR require every coursework file to be encrypted?

No blanket encryption requirement follows from that rule: the Information Commissioner’s Office says UK GDPR does not specifically require encryption of all personal information. If coursework contains personal information, follow your university’s instructions for the particular files and storage device, and ask its relevant contact when the permitted approach is unclear.

Is a home NAS enough on its own?

No. A NAS can provide shared local storage, and Synology documents backup jobs to local, remote and public-cloud destinations, but a NAS at home is not itself an off-site copy. Plan another backup destination and test that you can restore your coursework.
