Who needs which backup arrangement?

Students writing document-based assignments

If you work mainly with drafts, notes, PDFs and slides across several devices, a synchronised folder can make current files accessible. Keep a separate copy outside that folder, and check whether the files you need will be available offline.

Students with large creative or technical projects

A portable drive gives video, design or dataset files a local destination when uploads or account storage are limiting factors. Keep another copy separately: a drive carried with your laptop can be lost alongside it.

Students handling restricted material

For identifiable research data or placement files, check your university’s storage rules before using a personal cloud account or removable drive. The Information Commissioner’s Office says encryption can be an appropriate measure depending on the data and risks; you also need a way to recover the password.

What should you check first?

Start with where your working files live, then choose a separate backup destination and make sure you can restore from it.

PriorityWhat to checkYour needs
Independent copies Check that a backup is separate from the working folder. Disconnect an external drive when the backup finishes, and test restoring a draft. The National Cyber Security Centre warns that ransomware can affect connected backup drives too. I need to recover an assignment if my laptop fails or a file is deleted, not just see the same changed file in two places.
Access across devices Check which folders synchronise, whether required files are available offline and what happens to changes or deletions. Microsoft Support says school-account administrators may disable OneDrive versioning. I move between study locations and need my current draft even when the connection is unreliable.
Capacity and connection Compare the size of your coursework folder with the drive’s stated capacity. Check the device port, cable and file format before relying on an external drive. Large media or project files make a portable local copy useful; for document-led work, a backup routine matters more to me than a headline transfer-speed claim.
Account continuity Check your university’s account-closure rules and move files you are permitted to keep before access ends. The University of Bristol and Loughborough University both warn that access to their institutional OneDrive storage ends when accounts close or expire. I want to retain permitted coursework after I leave university, without depending on my student login.
Sensitive files Check institutional rules for personal cloud storage and removable media. If you encrypt a drive, keep its password or recovery method securely and separately. Some of my files contain identifiable or restricted material, so I need a permitted storage location as well as a recoverable copy.

Backup mistakes to avoid

  • Assuming sync is an independent backup

A changed or deleted file can be reflected across synchronised locations. Microsoft Support also notes that versioning may be disabled on a school account.

Keep a copy outside the everyday sync folder, such as one on an external drive disconnected after backup, and practise restoring a file.

  • Keeping the only archive in a university account

The University of Bristol says its Microsoft 365 account, including OneDrive, is deleted when a student leaves; Loughborough University says OneDrive files become inaccessible after account expiry.

Check your own university’s deadline and transfer coursework you are permitted to retain before access ends.

  • Choosing a drive by advertised speed alone

Samsung’s stated maximum speed for the T7 Shield depends on a compatible USB 3.2 Gen 2 host and cable. A speed claim does not tell you whether a drive suits your laptop or backup format.

Check your ports, cable, capacity and file-system requirements, then establish a backup routine you can restore from.

  • Encrypting the only copy without a recovery plan

If the password is lost, an encrypted backup may be inaccessible. Apple Support says its Disk Utility encryption process requires the device to be erased first.

Make another recoverable copy before erasing or encrypting a drive, and store the password somewhere secure other than solely on that drive.

Relevant brand references

These brand features apply to the named ranges or supported drives, not to every product bearing the brand.

Samsung

The Samsung UK T7 Shield 2TB model MU-PE2T0S/EU is a portable SSD reference for carrying project files.

  • Samsung states sequential speeds of up to 1,050 MB/s read and 1,000 MB/s write, subject to a compatible USB 3.2 Gen 2 host and cable.
  • Samsung’s stated IP65 and drop resistance come from controlled conditions; they do not make the drive a substitute for another backup copy.

Crucial

The Crucial X10 range is a portable SSD reference for large coursework files; the cited UK product is the 4TB CT4000X10SSD9C.

  • Crucial states read speeds of up to 2,100 MB/s for the X10.
  • Check the intended device’s connection and the drive format; stated performance and compatibility depend on the host and setup.

Western Digital

Password protection is worth checking when a compatible external drive will carry sensitive files.

  • Western Digital says WD Security can password-protect external drives that support 256-bit AES hardware encryption.
  • That feature does not apply to every WD drive; confirm support for the exact model and keep the password recoverable.

External drives for coursework copies

These Joybuy drives are options for making a local coursework copy. Pair the drive you choose with a separate, permitted copy elsewhere rather than treating portable storage as the whole backup arrangement.

Coursework backup questions

Is cloud sync enough to back up coursework?

No: synchronised changes or deletions can affect the copies you normally access. Keep a separate copy outside the sync folder and test restoring a draft. The National Cyber Security Centre also warns that connected backup storage can be affected during a ransomware incident.

Should I use an external hard drive or SSD?

An SSD is worth considering when you regularly carry and copy large project files; a hard drive can also serve as an additional destination for document-led coursework. Check capacity, device compatibility and your backup routine rather than choosing on a speed claim alone.

How can I automate a coursework backup on Windows?

Microsoft Support says File History makes regular backups of selected files and folders to an external drive or network location. Make sure your coursework folder is included, connect the chosen destination when needed and test restoring a draft.

What should I check before using Time Machine on a Mac?

Check the backup disk’s capacity and format before setting up Time Machine. Apple Support recommends a disk with at least twice the Mac’s storage capacity and says a disk formatted for Windows must be reformatted for Time Machine; reformatting erases its contents.

Can I keep coursework in university OneDrive after leaving?

Do not assume access will continue. The University of Bristol says its Microsoft 365 account, including OneDrive, is deleted when a student leaves, while Loughborough University says files become inaccessible when the account expires. Check your own institution’s deadline and move files you are permitted to retain beforehand.
