Families with photos on several devices
If photos start on phones but also need to be viewed on computers, check automatic upload, access on each household device, shared capacity and how the account can be recovered.
Choose cloud storage if automatic phone backup and access away from home matter most; choose an external drive for a local copy, or a NAS for a shared home library you are willing to maintain. For irreplaceable photos and documents, keep copies in separate destinations and test that you can restore them. The UK National Cyber Security Centre advises against leaving a backup drive permanently connected.

A local drive gives a large collection another storage destination. Check its capacity against the existing library and expected growth, then plan a separate copy rather than relying on that drive alone.
A NAS can bring files together for several home devices and allow storage to expand. It also brings setup, access management and the need to back up the NAS itself.
Choose when: Phone uploads and access from compatible devices away from home are central to the routine.
Trade-off: Access depends on an account and internet connection, while storage limits and subscription renewals need attention.
Choose when: You want a portable local copy of a computer library without an ongoing storage subscription for that drive.
Trade-off: Which? describes HDDs as typically cheaper but slower than SSDs, with moving parts more susceptible to knocks; either drive still needs another backup destination.
Choose when: Several household members need one home library and someone can maintain the hardware and access settings.
Trade-off: Synology advises backing up the NAS separately; multiple disks do not make it an off-site copy.
Choose when: Photos, videos or documents are difficult to replace and recovery matters more than keeping the routine to one destination.
Trade-off: You must manage both copying routines and check that files can be restored from each destination.
Whichever route fits, size it for the files you have, check it works with your devices and decide how you would recover a file.
| Priority | What to check | Your needs |
|---|---|---|
| Restoration | Keep an additional copy in a separate destination; try restoring a small folder. The National Cyber Security Centre also advises against leaving a backup drive permanently connected. | I need to get important photos and documents back after a device fails, files are deleted or the main copy becomes inaccessible. |
| Capacity | Measure the current library and allow for new photos and video. For a Google personal account, Google One Help says Drive, Gmail, WhatsApp backups and Google Photos use shared storage. | My photo library needs room to grow without other files on the same account unexpectedly using up the available space. |
| Device access | Check the intended phones, computers, drive connections and file systems. For cloud access away from home, check the service on each device and the need for an internet connection. | Files need to be usable on the devices my household actually has, whether we are at home or away. |
| Account recovery | Check recovery methods before relying on one cloud account. Apple Support says Advanced Data Protection requires a recovery contact or recovery key and that Apple cannot recover the protected data without a usable recovery method. | If I lose access to a phone or account, someone in the household must still know how to reach our files. |
| Ongoing routine | Check when copies run, how renewals work and what happens at the storage limit. Google says its storage purchases renew automatically by default. | I want a copying routine we can maintain, with time to act before a cloud plan renews or fills up. |
A connected backup can be exposed to the same incident as the computer. The National Cyber Security Centre advises checking that files can be restored and not leaving the backup device permanently connected.
Keep another copy in a separate location or service. Disconnect a local backup after copying where the routine allows, and practise restoring a small folder.
Google One Help says personal storage is shared across Drive, Gmail, WhatsApp backups and Google Photos. A full account can prevent new photo and video backups.
Check the storage used by all services on the account before choosing capacity, and review it as the library grows.
A home NAS remains one location. Synology recommends a separate backup and describes a 3-2-1 approach: three copies, two storage media and one copy off-site.
Plan and test a second destination for the NAS, such as an external drive kept elsewhere or a suitable cloud service.
Apple Support says Apple cannot recover data protected by iCloud Advanced Data Protection if the household cannot use its recovery method.
Before enabling it, set up the required recovery contact or key and make sure the people responsible know how to use that method.
These services illustrate different household storage routes; check the current terms of any account or hardware you intend to use.
A cloud-storage route for households using iPhone, iPad and Mac devices.
A cloud route to consider when household files already sit in Google Photos, Drive or Gmail.
A cloud route for households already using Microsoft 365 or OneDrive for files.
A home NAS route for centralising a household file library and adding drives as it grows.
These Joybuy drives are options for keeping a local copy of family photos, videos and documents. Choose capacity and connections for your own devices, and keep another copy of files you cannot replace.

A portable 1 TB local-copy option with USB 3.2 Gen 2 stated in the product name. Check the connection and file-system requirements of each intended device, and plan a separate backup destination.

This 2TB portable SSD is an option for a local photo or video copy. Confirm the connection works with your intended devices and that your backup routine can restore the files you save to it.

The 1 TB T7 offers a portable local-copy route with USB Type-C 3.2 Gen 2 stated in its name. Check your devices and backup software before relying on it for a regular copying and restoration routine.

This magnetic 1TB SSD has USB 3.2 Gen 2x2 in its product name. Its stated direct-recording use applies to iPhone 15 and 16 Pro and Pro Max models; check the exact phone and the separate workflow you need for backing up family files.

A 4TB local-drive option for a larger household archive, with USB 3.0 stated in the product name. Check the connection and file system for your computer; the listing says reformatting may be needed for Mac or other operating systems.
Do not rely on sync as the only recovery route for important files: changes or deletions may also be reflected across synced devices. Keep a copy in a separate destination and test restoration, as the National Cyber Security Centre advises for important photos and documents.
Consider an HDD when capacity matters more than transfer speed and the drive will usually stay protected from knocks; consider an SSD if you carry it regularly or want faster transfers. Which? describes HDDs as typically cheaper but slower than SSDs and more susceptible to damage from bumps. Neither should hold your only copy.
No. A NAS can centralise household files, but it remains one storage location. Synology recommends three copies on two storage media, with one copy off-site; set up and test that additional copy rather than treating multiple NAS disks as the backup.
Check that devices signed in to the Apple Account meet Apple's software requirements, then set up a recovery contact or recovery key. Apple Support says Apple cannot recover the end-to-end encrypted data without a usable recovery method, so make sure the household can use the one it chooses.
Check the provider's current renewal, cancellation and storage-limit terms, and arrange another copy before you depend on losing access to the plan. GOV.UK consumer guidance advises watching renewal notices and allowing time to move data; Google says its storage purchases renew automatically by default.
