Who needs which arrangement?

Families whose photos live on phones

Automatic uploads can help keep a growing library accessible after a phone is lost or replaced. Check that videos are included, there is room for the library to grow, and family sharing is limited to the people intended.

Privacy-conscious households

Sharing controls, encryption and account recovery are separate decisions. Check who can open an album or link, what protection applies to the photos themselves, and how the household would regain access to an encrypted account.

Households wanting an offline copy

A drive that is disconnected after copying offers a fallback beyond a cloud account or a continuously connected device. The National Cyber Security Centre advises keeping at least one backup offline or digitally disconnected and testing that files can be restored.

What should you check before choosing?

Choose how family members will access photos day to day, then plan a separate, recoverable copy. Cloud storage, an external drive and network-attached storage (NAS) can each play a part, but none removes the need to check how the other copies are protected.

PriorityWhat to checkYour needs
Separate copies Check where the original and backups live, whether one copy is away from home, and whether a backup can be disconnected. The National Cyber Security Centre describes a 3-2-1 approach: at least three copies on two devices, with one off-site. I would struggle to replace these photos if a phone, account or drive became unusable. I need more than one route to a usable copy.
Cloud access Check which phones upload automatically, which files are included, and how to recover the account. Review deletion and version-history behaviour for the service you choose. Our family takes most photos on phones and wants access across devices, including after a phone replacement.
Local storage For an external drive, check the connection, device and file-system compatibility, and how copies will be scheduled or made manually. For a shared NAS, plan account administration and another backup destination; Synology warns that RAID and multiple disks do not eliminate data-loss risk. I want a copy the household controls. A drive suits a routine of connecting and disconnecting it; a shared NAS requires someone to maintain it and back it up.
Privacy and sharing Review private, shared and public settings, who can open album links, and the service’s encryption and recovery arrangements. The Information Commissioner’s Office advises checking who can access cloud files. I want relatives to see selected albums, not the whole library. In Proton’s May 2025 survey of more than 2,000 UK parents with children under 16, 72% said keeping their photos private was extremely important.
Capacity and renewal Compare available storage with the current photo and video library and likely growth. For a subscription, review its renewal and cancellation terms; for a drive, check that the intended copying routine will fit. I need room for future videos and a storage arrangement I will continue to review. Citizens Advice reported in March 2024 that 26% of UK adults had accidentally taken out a subscription in the previous 12 months; that figure concerns subscriptions generally, not cloud storage specifically.
Recovery Set up applicable recovery contacts or methods before they are needed, keep recovery material separate from the main password, and try restoring a few files from a backup. If I lose a phone or forget a password, I need to know which copy or recovery method will actually let us retrieve the photos.

Common backup mistakes

  • Treating one synced library or drive as the whole backup

A deletion, account problem or incident at home can affect the copy a family expects to rely on. A connected backup may also be affected alongside the original.

Keep separate copies, including one away from home and one that can be disconnected. Restore a small selection of files to check that the arrangement works; this follows National Cyber Security Centre backup guidance.

  • Assuming privacy settings also guarantee recovery

Encryption and private folders have different recovery conditions. Apple says new users in the UK cannot enable Advanced Data Protection for iCloud Photos, while Proton says some password-reset methods alone will not restore access to existing encrypted files.

Check the protection and recovery rules for the exact service and photo category. Set up applicable recovery contacts or methods in advance and store recovery material separately from the password.

  • Leaving broad album links in place

Cloud access depends on sharing settings. Which? advises avoiding an ‘anyone with the link’ setting for personal or sensitive files.

Invite named people where the service allows it, and periodically review albums, links and access permissions.

  • Choosing capacity without a plan for growth

A growing photo and video library can reach its storage limit, leaving new files outside the intended backup routine.

Measure the existing library, allow for future videos, and review available capacity and subscription renewal terms regularly.

Relevant service and storage brands

Apple iCloud

An Apple-device cloud photo library with cross-device access and family sharing controls.

  • Apple supports trusted Account Recovery Contacts for help regaining access to an iCloud account and data.
  • Apple says UK users who have not already enabled Advanced Data Protection can no longer enable it; iCloud Photos is among the categories using Standard Data Protection for those users.

Google Photos / Google Account

An account-based cloud photo route for phone backup, cross-device access and sharing.

  • Google provides account-recovery steps; keeping recovery details current matters if account access is lost.
  • Google says unbacked-up Locked Folder items can be lost if the app is uninstalled, its data is cleared, or the device is lost or damaged.

Proton Drive

A cloud file-storage route for households comparing provider access to stored photos and file names.

  • Proton states that file contents, file names and folder names are end-to-end encrypted before leaving the device; file size is not encrypted.
  • Proton says access to existing encrypted files after some password resets requires the old password or an applicable recovery method prepared in advance.

Synology

A NAS route for a shared home photo library and configurable backups to other destinations.

  • Synology lists external devices, remote NAS and cloud services among Hyper Backup destinations, with multi-version retention available.
  • Synology advises a separate backup destination because RAID crashes and disk failures can still cause data loss.

Western Digital

An external-drive route for making a household-controlled local copy.

  • Western Digital describes scheduled backup software and password-protected hardware encryption among features of its home-backup drives; check the exact model.
  • A local drive still needs a separate copy elsewhere if a household wants protection from an incident affecting the home.

External drives for a local copy

These Joybuy drives are options for keeping a separate local copy of family photos. Check capacity against your library and plan how the drive will be backed up or disconnected; buying a drive alone does not establish a complete backup routine.

Family photo backup questions

Is a cloud photo library a complete backup on its own?

Not necessarily. Check how the service handles account recovery, deletion and earlier versions, and keep another usable copy. The National Cyber Security Centre recommends multiple copies, including at least one backup that is offline or digitally disconnected when not in use.

What should I set up before using encrypted cloud storage?

Set up the service’s applicable data-recovery method before relying on it and keep recovery material apart from your password. Proton says an email or SMS password reset alone may not restore access to existing encrypted files; access can depend on the old password or a recovery method prepared beforehand.

Can Google Photos Locked Folder replace a backup?

No, not for items left unbacked-up. Google says those items remain only on the device and can be lost if the Photos app is uninstalled, its data is cleared, or the device is lost or damaged. Check whether backing up Locked Folder items suits your privacy needs.

Does a NAS with multiple drives still need a backup?

Yes. Synology warns that RAID crashes and hard-drive failures can still cause data loss and recommends a separate backup destination. A NAS can hold a shared household library, but plan where its recoverable copy will live.
