Who needs which backup plan?

Families protecting irreplaceable memories

If family photos, videos and essential documents would be difficult to recreate, plan for more than failure of the device holding them. The National Cyber Security Centre advises keeping a backup copy in a separate safe location.

Multi-device home and hybrid workers

When files sit across computers, phones and tablets, check the coverage of each backup method rather than assuming one account or drive captures everything. Apple, Microsoft and Google describe different backup routes for their respective devices and services.

Households with growing file libraries

A growing collection of photos, videos and work files makes capacity important, but it does not settle the choice between a portable drive, stationary storage and a shared NAS. Measure the files you need to protect, then plan where an additional copy will live.

What matters when choosing home backup storage?

Start with where a recoverable copy will live, then confirm which devices and files the backup covers. A portable HDD offers local storage you can carry, an SSD suits frequent transfers, a desktop drive stays in one place, and cloud storage or a separately kept drive can provide another location; NAS requires a plan to back up the NAS itself.

Concern What to check Who this matters to
Protection from a local loss Choose a separate location for an additional copy and check that you can restore a file from it. If photos and documents cannot be recreated, I need a copy that will still be available if the computer and nearby drive are lost together. Roughly 31% of consumers put this protection first.
Backup across devices Confirm the included folders and device data for each computer and phone, plus how the backup is updated. When my files are spread across phones and computers, I need a routine that actually captures the content I rely on. Around 25% of consumers prioritise device coverage and regular updates.
Room for a growing archive Measure the files to protect and allow for new files and backup history. For Time Machine, Apple recommends a disk with at least twice the Mac’s storage capacity. As my photo and video library grows, I need enough room to keep useful backups rather than just today’s files. Approximately 25% of consumers make capacity their primary concern.
Portable transfers Check the drive’s connection against your device ports and cables; read any conditions attached to speed or resistance claims. If I often carry large work files between devices, transfer time and handling matter more to me than stationary storage. For about 13% of consumers, portability and transfers come first.
Shared home storage Check device and backup-app support, network access and the separate destination that will protect NAS data. When several people need one managed home destination, I need to be comfortable maintaining its accounts and backup routine. Roughly 6% of consumers prioritise shared storage.

Backup mistakes that change your choice

  • Expecting one external drive to cover every loss

A drive kept beside the computer can be affected by the same theft, damage or incident. The National Cyber Security Centre defines a backup as a copy kept in a separate safe location.

Use the local drive for convenient restoration if it suits your routine, and keep another copy in cloud storage or on a drive stored separately.

A separately stored drive needs a routine for updating it, or its copy can become out of date.

  • Choosing capacity before checking backup coverage

A drive or account cannot restore files that its backup method never included. Apple, Microsoft and Google describe different treatment of device data, selected folders and cloud-synchronised content.

List the files and devices you would need to recover, then check what each proposed method includes and how to restore it.

  • Assuming advertised SSD speed applies to every connection

Samsung says the quoted maximum speeds for its T7 range depend on a compatible host, cable and connection features. A speed figure alone does not describe the transfer you will get from your own setup.

Compare the requirements of the exact SSD with the ports and cable you intend to use.

  • Treating NAS or RAID as the only backup

Synology warns that RAID problems and drive failure can still result in data loss. Shared storage in the home also remains in the home.

If you choose NAS, arrange scheduled backups to another destination and practise restoring files from it.

Maintaining the second destination and checking restores adds an ongoing task.

Relevant brands and backup systems

Western Digital

Portable and desktop external HDD ranges for local household storage.

  • Western Digital lists portable HDD options up to 6 TB and desktop external HDD options up to 26 TB in its UK range.
  • Check the selected model for its device compatibility, included software and security features; they do not apply uniformly across the range.

Seagate

Portable HDD options for local copies that can be connected as part of a regular backup routine.

  • Seagate describes scheduled backup options for its Backup Plus Portable line.
  • Check the exact model and intended operating system; Seagate notes that Time Machine use may require reformatting.

Samsung

Portable SSD ranges for households considering compact storage and frequent file transfers.

  • Samsung quotes maximum sequential transfer speeds for its T7 range under specified connection conditions.
  • The host and cable affect achievable speed. Read the conditions and warranty exclusions for any T7 Shield resistance claims.

Apple

Built-in backup routes for Macs, iPhones and iPads, rather than a single external-drive product line.

  • Apple supports Time Machine backups to suitable external storage and provides iCloud or computer backup methods for iPhone and iPad.
  • Check the content included by each method. Apple recommends a Time Machine disk with at least twice the Mac’s storage capacity.

Synology

NAS hardware and backup tools for households prepared to manage shared storage.

  • Synology describes versioned backups from its NAS to destinations including external, remote and cloud storage.
  • Synology warns that RAID and drive failures can still cause data loss; plan another backup destination.

Home backup questions answered

How large should a home backup drive be?

It should hold the files you need to protect, with room for future files and any backup history. Measure those files across your devices; if you are using Time Machine, Apple recommends a backup disk with at least twice the Mac’s storage capacity. Capacity still does not remove the need to consider a separate copy.

Is copying files from an iPhone to an external drive a full phone backup?

No: copying individual files through a supported app is different from backing up the iPhone as a device. Apple directs users to iCloud or a computer for iPhone and iPad backups; check what the chosen method includes before relying on it for recovery.

Can I use one external drive with Windows and macOS?

You can plan a drive for use with both, but check its format and the backup method you intend to run before moving files onto it. Apple warns that formatting erases files, so do not reformat the only copy of important data; check Time Machine requirements separately if that is the drive’s intended job.

How can I check that my backup will restore?

Restore a small photo and document to a different folder or device, then check that both open. The NI Cyber Security Centre advises practising restoration as well as keeping backups up to date.
