Who needs which kind of backup?

The files you need to recover—and the devices on which you use them—should shape the arrangement.

Self-employed laptop users

Current client documents, invoices and project files need recoverable copies, not just convenient access from another device. Check that the backup includes the folders you work in and that you can restore a recent file without relying on the original laptop.

Students working across devices

Synchronisation can keep current coursework accessible on a laptop and phone. Keep a separate recovery copy too, and check whether earlier drafts can be restored after a deletion or overwrite.

Households with phone photos

Count phone photos and videos alongside computer files when choosing capacity. If several people use shared storage, check whose files are included and keep another copy of photos that cannot be recreated.

What should you check before choosing?

Start with the files and devices to protect, then decide where each recoverable copy will live and how you would restore it.

Priority What to check Your needs
Local recovery For an external drive, check capacity, connection and the backup routine. Confirm that a recent file can be opened from the copy; disconnect and store the drive separately after use. I want a copy of work or photos I can reach without downloading them. A drive kept beside the laptop would still leave both copies in one location.
Off-site recovery For cloud backup, check which laptop folders are included, whether uploads have completed, and how restoration and retention work. The National Cyber Security Centre describes a backup as a copy kept in a separate safe location. If my laptop and local drive become unavailable together, I need another recoverable copy elsewhere.
Cross-device files For cloud storage or synchronisation, check selected folders, deletion recovery, version history and offline settings. Microsoft Support says OneDrive online-only files cannot be opened without an internet connection; its stated file version history is retained for 30 days. Coursework needs to stay accessible across my devices, but I also want a way back to an earlier draft if the current one is overwritten.
Shared local storage For network-attached storage (NAS), check device-backup setup, account protection and restoration. Synology describes backup destinations beyond a NAS, including cloud services; a NAS at home is not itself an off-site copy. Several household devices need local storage, and someone can maintain the system and its separate backup destination.
Capacity and coverage Measure laptop files and phone media, then check what uses each allowance. Google One Help says Google Drive, Gmail and Google Photos share the storage in a Google Account. Photos and videos keep growing, so I need room for them as well as documents—and to know whether email uses the same allowance.
Independent copies If combining local and cloud copies, check that both contain recent files and can be restored. Confirm which account controls the online copy and whether the local copy remains available when that account cannot be accessed. For files I cannot recreate, I do not want recovery to depend on one device, account or storage location.

Which backup mistakes matter?

  • Treating a sync folder as a complete laptop backup

Only selected files may be synchronised, while older versions and deleted files remain recoverable only under the service’s retention rules. Microsoft Support states that OneDrive file version history is retained for 30 days.

List the folders and data types you would need after losing the laptop. Check their coverage and deletion recovery, then keep an independent copy of irreplaceable files.

  • Leaving the only external drive connected

A connected drive is not a separately stored copy and may be affected by a problem involving the laptop.

Confirm the backup completed, disconnect the drive and store it securely. Keep another copy elsewhere for files you cannot recreate.

  • Counting only laptop documents when choosing capacity

Google One Help says Drive, Gmail and Photos draw on the same Google Account storage, so photo uploads and email also affect the space available for files.

Check current use across the services you plan to use, allow for growing photo and video libraries, and review any family-sharing arrangements.

  • Assuming a NAS is an off-site backup

A NAS in the same property remains a local system. Synology describes destinations for backing up NAS data beyond the NAS itself, including cloud storage.

Set up a separate destination, choose retention settings and test whether you can restore an individual file.

Maintaining a NAS also takes time for configuration, updates and checks that its backups are completing.

Which services and systems are relevant?

These references illustrate different backup and storage routes; their features do not make every file or device recoverable by default.

Microsoft OneDrive

Cloud file storage and synchronisation for people who use files across a Windows laptop and other devices.

  • Microsoft Support says Files On-Demand can keep files online-only or make them available offline.
  • Online-only files need an internet connection to open. Microsoft Support states that file version history is retained for 30 days; check folder coverage before treating OneDrive as your recovery copy.

Google One and Google Drive

Cloud storage for files and photos used through a Google Account.

  • Google One Help says a Google Account includes up to 15 GB shared across Drive, Gmail and Photos.
  • Check the combined storage use and which laptop files are actually covered; shared cloud storage should not be assumed to contain a complete laptop backup.

Apple iCloud+

Cloud storage and device-backup options for households using Apple devices.

  • Apple’s UK iCloud+ page lists storage tiers from 50 GB to 12 TB.
  • Check which phone data and laptop folders are included, particularly if the arrangement must also cover a Windows computer.

Backblaze

A dedicated online computer-backup route rather than a shared folder for current work across devices.

  • Backblaze says its personal backup retains old and deleted file versions for 30 days by default.
  • Check the files included, restoration method and applicable retention option before depending on it for recovery.

Synology

NAS software and services for people prepared to manage shared local storage and its backups.

  • Synology describes Hyper Backup destinations including its cloud service and other public cloud services, and lists version-retention controls.
  • The available setup depends on the NAS and destination. A NAS kept at home still needs a separate destination to provide an off-site copy.

External drives for a local copy

These Joybuy drives represent the local-copy route for laptop files, coursework and photos. Choose capacity and connection for your devices, then plan a separate online or off-site copy for files that would be difficult to replace.

Samsung MU-PG4T0B 4 TB external drive in black

Samsung MU-PG4T0B 4 TB USB Type-C, USB 3.2 Gen 2x2, Black

For a local copy of a large file or photo library, compare the stated 4 TB capacity with what you need to store. Check that your computer has a suitable USB Type-C connection and keep another copy elsewhere for irreplaceable files.

Backup questions answered

Is file synchronisation the same as backup?

No. Synchronisation keeps selected files available across devices; a backup is a separate recoverable copy. Before relying on a sync service for recovery, check that it covers every important folder and lets you restore deleted or earlier versions within the time you need.

How much capacity do laptop files and phone photos need?

Add up the files and media you plan to protect, then allow room for growth and any retained versions. Check what shares the allowance: Google One Help says Drive, Gmail and Photos use the same Google Account storage, while Apple’s UK iCloud+ page lists tiers from 50 GB to 12 TB.

Can an external drive be my only backup?

An external drive can hold a useful local copy, but keep another copy elsewhere for files you cannot replace. Disconnect the drive after backing up and check that recent files can be restored from it.

How do I check that a backup works?

After setup and periodically thereafter, find a recent important file in the backup and restore it to a safe test location. Check that it opens and that the folders and phone media you intended to protect are present.

What if my self-employed work backup contains clients’ personal data?

If you process clients’ personal data in the course of business, account for its security when arranging the backup. The Information Commissioner’s Office says the UK GDPR security principle requires appropriate technical and organisational measures; the measures depend on the data and risks. Check current ICO guidance when setting up the arrangement, as some of its small-business guidance is under review following the Data (Use and Access) Act.
