Who needs which backup route?

People setting up a replacement phone

If the old phone will not be nearby, check the backup date, account sign-in details, available storage on the new phone and which data can actually be restored. Apple Support describes restoring an iPhone from iCloud Backup without the previous device; Google cautions that not all Android app settings and data can be restored.

People with growing photo libraries

If photos and videos are taking up phone space, compare the capacity of your cloud account or local drive with the library you need to retain. Check whether you have exported original files or merely synchronised a library: Apple Support says deleting an iCloud Photo from one device also removes it from iCloud and other devices using iCloud Photos.

People who want an offline copy

A physical copy of selected files can provide another way to reach them without relying solely on an account. Before choosing a drive, check the phone connection, cable, format and power requirements, as well as which files you can export. Apple Support specifies format and partition requirements for iPhone storage accessories; Google notes that not every USB cable transfers data.

What matters when choosing a backup?

Cloud storage

Consider it when: You want account-based backup and a restore route if the old phone is unavailable.

Trade-off: Uploading and restoring need connectivity, sufficient account capacity and continued account access; backed-up categories vary.

Computer and external drive

Consider it when: You can use a computer to maintain a separate local copy of photos and documents.

Trade-off: You must make and check the copy yourself, and a drive can be lost or fail.

Drive connected to the phone

Consider it when: You want to export selected files directly and your phone supports the connection.

Trade-off: Connector, adapter, format and power requirements can restrict use; exporting files does not establish a full-device restore route.

ConcernWhat to checkWho this matters to
Automatic restoration Check available account capacity and whether photo syncing, device backup and the new phone's restore process cover the data you need. If the old phone is unavailable during setup, I want a recent backup I can reach by signing in. Around 25% of consumers would put straightforward restoration first.
Offline access Check the phone port and data-capable cable, plus the drive's format, power needs and capacity for the files you will export. I want selected photos and documents accessible without depending on an internet connection or continued cloud-account access. Roughly 19% of consumers would make a local copy their primary concern.
Migration completeness List important downloads and app-specific files, then check exclusions and open sample files on the new device before erasing the old one. If my documents or app files are left behind, a completed phone setup will not solve my problem. Around 31% of consumers would prioritise checking what actually transferred.
A separate second copy Keep important files in another independently accessible location and confirm that the copies there are current and readable. For files I cannot replace, I do not want one phone, account or drive to be my only route back to them. About 25% of consumers would put an independent second copy first.

Mistakes to avoid before changing phones

  • Treating synchronisation as a separate archive

Apple Support says that deleting a photo from a device using iCloud Photos also removes it from iCloud and other devices using iCloud Photos. A synchronised library is not an independently retained copy against that deletion.

Before deleting files or handing over the phone, export irreplaceable originals to a separately managed location and open a selection of the exported files.

  • Buying a drive before checking the connection

A drive that fits a port may still need a compatible format or additional power. Apple Support sets partition and format requirements for iPhone storage; Google says some USB cables charge but do not transfer files.

Check the exact phone port, adapter, drive format and power requirements, and whether the cable supports data transfer.

A compatible adapter, powered hub or external power supply may also be needed.

  • Erasing the old phone as soon as setup finishes

Google lists downloads such as PDFs among the items excluded from Android setup transfer. Apple also specifies exclusions for its iPhone backup methods, so finishing setup does not establish that every important file has arrived.

Open representative photos, documents and app-specific files on the new phone or second storage location before changing anything on the old device.

  • Letting account capacity fill up

Google says its account storage is shared across Drive, Gmail and Photos; at the storage limit, Google Photos cannot continue backing up photos and videos.

Check usage across the linked services, allow room for new files and keep a separate copy before ending a cloud-storage plan.

Brands and services to consider

Apple

Relevant to iPhone users comparing iCloud Backup, iCloud Photos, computer backup and direct file export before replacement.

  • Apple Support describes restoring from iCloud Backup even when the previous iPhone is not nearby.
  • Apple Support says iCloud Backup excludes data already synchronised to iCloud, including iCloud Photos when enabled. A drive connected to an iPhone must also meet connection, format and partition requirements.

Google

Relevant to Android users considering Google Account backup, Google Photos and transfer to another Android device.

  • Google documents account backup and cable or wireless transfer during Android setup.
  • Google says not all app settings and data can be backed up or restored, while setup transfer excludes downloads such as PDFs. Drive, Gmail and Google Photos also share account storage.

Microsoft

Relevant to households using OneDrive for photos and documents across phones and computers.

  • Microsoft Support documents OneDrive camera upload for iOS and Android.
  • Microsoft says OneDrive on iOS cannot upload photos optimised for iCloud. Check that the original photos are available before relying on that upload as your separate copy.

Joybuy storage options for a separate file copy

These USB drives and external drives are options for storing selected photos and documents separately from a phone. Choose between direct phone export and a computer-mediated copy according to your devices, then check compatibility before relying on either route for a replacement.

SanDisk Phone Drive with USB-C, Arctic White, 256GB

Consider this for exporting selected files from a compatible USB-C phone. Check your exact iPhone model and app requirements, and confirm which files you can open on the replacement phone; photo and video export should not be treated as a complete phone backup.

Questions about restoring files

Will a cloud backup restore everything to my replacement phone?

No: the backup method and data category matter. Apple Support says iCloud Backup excludes information already synchronised to iCloud, including iCloud Photos when enabled; Google says not all Android apps can back up or restore all settings and data. Check the relevant backup categories and open important files before erasing the old phone.

Can I connect a USB drive directly to an iPhone?

Yes, for supported file access when the connection and storage requirements are met. Apple Support specifies a compatible connector or adapter, one data partition and a supported format; some external drives need additional power. Unlock the iPhone before using a storage accessory.

Why did my PDFs not move to my new Android phone?

Google lists downloads, including PDFs, among the content that does not copy during Android setup transfer. Move important downloads separately to cloud storage, a computer or compatible removable storage, and open them in the new location before wiping the old phone.

Do I need a cloud-storage subscription to replace an iPhone?

Not necessarily. Apple Support says eligible people who need more iCloud capacity for a new iPhone or iPad transfer can use temporary iCloud storage; the temporary backup must be restored within 21 days before that storage expires. Check eligibility in the phone's Transfer or Reset settings and confirm that the files you need are covered.
