What matters when choosing storage?
Decide how you will obtain and check the complete local copy before comparing drives. Then choose between a periodically updated external drive and a managed shared-storage arrangement; cloud storage can remain an additional copy rather than serving as the only backup.
| Concern |
What to check |
Who this matters to |
| Independent recovery |
Check that files form a separate, readable copy. Plan where to keep a removable drive when it is not being updated; the National Cyber Security Centre advises against leaving a backup device connected when it is not in use. |
If I lose access to my computer or cloud account, I need files I can open from another copy. Around 33% of consumers put independent recovery first. |
| Library capacity |
Measure the downloaded or exported library, then allow room for new files and any backup history you intend to retain. |
When my photo and video collection is large, a partial export will not serve as my archive. For around 25% of consumers, fitting the whole library and its growth is the primary need. |
| Device and transfer compatibility |
Check which computers must read and write the drive, their connections, and the backup utility you plan to use. Confirm that cloud files have downloaded before copying them. |
I need to move usable files between my chosen devices without finding that a backup utility cannot use the drive. Around 25% of consumers place that workflow first. |
| Shared access and privacy |
For a NAS, check account permissions, upkeep and key storage for any encrypted folders. Synology says its encrypted shared folders require the key for later access. |
If several people need a local library, I want to control who can open it without losing the ability to recover it. Shared access and privacy are the main concern for around 17% of consumers. |

Common questions
Can I export Google Photos before making a local backup?
Yes. Google Account Help says you can create and download an archive of data from Google products, including Photos. Check that the completed archive contains the files you need before relying on your external copy.
How do I keep original-resolution iCloud Photos on a drive?
Apple Support says you can select Download Originals to this Mac to download the full-resolution photos and videos in an iCloud Photos library. Ensure the Mac has room for the download, then copy the files to external storage and check that the copy opens.
Does a OneDrive file shown in File Explorer already exist on my computer?
Not necessarily. Microsoft says Files On-Demand can display online-only files that take up no local storage and cannot be opened offline. Make required folders available on the device and let them download before copying them to independent storage.
Should I format a Windows-and-Mac drive as exFAT?
exFAT is an option for exchanging files between Windows and Mac computers, according to Seagate. Seagate also says it is not compatible with Time Machine, so choose a format suited to that utility if the drive is dedicated to Mac backups.
What if I lose the key to a Synology encrypted shared folder?
Synology says the key is required to mount the encrypted shared folder and access its data later. Keep the key securely somewhere other than solely on the NAS, and retain a separate backup of important files.
