Who is each approach for?

People whose photos are mainly on a phone

If you use an iPhone, iPad or Android phone, an account-based service can reduce the need for manual transfers. Check photo syncing separately from device backup, and make sure the account has room for the content you want to keep.

Windows users who need earlier file versions

Microsoft says File History can make regular copies of selected folders to an external drive or network location. This route makes sense if you can keep the destination available and know how to restore a file when needed.

Households with files on several devices

A NAS offers a central local destination for a shared library, but someone needs to configure and maintain its backup jobs. Synology recommends keeping copies on more than one medium, including an off-site copy, rather than relying on the NAS alone.

What should you check before choosing?

Start with the data you need to recover, then choose a route that can copy it from your devices and restore it when the original is unavailable.

PriorityWhat to checkYour needs
Recoverable copy Identify what is copied, where the separate copy lives and how to restore a test file. The National Cyber Security Centre describes a backup as a copy kept in a separate safe location. If I lose access to my phone or computer, I want to retrieve the photos and files that matter, not just find that they were once transferred.
Device and schedule Check ports and file-system support for a physical drive. For automatic copies, Apple specifies power, Wi-Fi and a locked screen for iCloud device backup; Microsoft File History needs an external drive or network location. I would rather have copies update regularly than depend on remembering a manual USB transfer. The route also needs to work with the devices I use.
Storage allowance Count photos, videos and other account data together. Google says storage is shared across Drive, Gmail, WhatsApp backups and Google Photos; check the allowance and any subscription terms before relying on it. My photo library may grow alongside email and other files, so I need enough room for future copies as well as what I store today.
Separate destination Check whether a drive or NAS would be kept alongside the original device. Synology recommends copies on different media, with one off-site, for its NAS backup approach. If a local device fails or becomes unavailable, I want another copy somewhere else rather than depending on that single location.
Retention and restoration Check how long earlier or deleted files remain recoverable. Microsoft documents 30-day OneDrive file-version history and a 30-day deleted-file recovery window for personal accounts. I may not notice a changed or deleted file immediately, so I need to understand the recovery window before treating version history as an archive.

Backup mistakes to avoid

  • Assuming syncing or a transfer covers everything

Apple says iCloud Photos syncs photos and videos separately from the daily iCloud device backup. Moving files to USB and then deleting the only other copy can likewise leave you dependent on one device.

List the photos, documents and device data you need to keep. Check where each is copied and try restoring a sample before removing an original.

  • Allowing only for the photo library

Google storage is shared across Drive, Gmail, WhatsApp backups and Google Photos, so other account data uses the same allowance.

Check total account use, remaining capacity and the terms of any storage expansion before relying on future automatic uploads.

  • Keeping the only extra copy on one local device

An external drive or NAS gives you a local destination, but one location does not provide a separate off-site copy. Synology recommends a backup approach using different media and an off-site copy.

Keep another copy in a separate location and periodically restore a small selection of important files to check the process.

  • Expecting cloud recovery windows to last indefinitely

Microsoft documents 30-day OneDrive file-version history and, for personal accounts, recovery of files deleted within the last 30 days.

Check the window for your account and retain a separate copy of files you may need well after a deletion or change.

Relevant brands and services

These services illustrate different backup workflows; a brand reference does not mean its service or device is included in the product selection below.

Apple

iCloud provides separate device-backup and photo-syncing workflows for iPhone and iPad users.

  • Apple Support says automatic iCloud device backup requires power, Wi-Fi and a locked screen.
  • Apple Support says photos synced through iCloud Photos are not included in the daily iCloud device backup; check both settings.

Google

Google offers account-based storage for Android device data, photos and files.

  • Google describes device backup and Google Photos as separate ways to retain content.
  • Google says storage is shared across several services, and backed-up Android device data other than photos or videos is erased after 57 days of device inactivity.

Microsoft

File History supports local Windows file copies, while OneDrive offers recovery features for files stored in the account.

  • Microsoft says File History regularly backs up selected files to an external drive or network location.
  • Microsoft documents 30-day OneDrive version history and a 30-day deleted-file recovery window for personal accounts.

Synology

Synology NAS tools support managed backups for people prepared to maintain a central local system.

  • Synology describes restoring data through its Hyper Backup tools.
  • Synology recommends multiple copies on different media, including an off-site copy; the NAS should not be the only destination.

External drives on Joybuy

These external drives are options for making local copies of personal photos and files. Check your device connection and backup routine before choosing one; a drive on its own does not cover the cloud or NAS routes discussed above.

Backup questions

Does copying photos to a USB drive count as a backup?

It can count as a separate copy if you keep the original and store the checked USB copy safely. The National Cyber Security Centre defines a backup as a copy kept in a separate safe location; moving the only copy onto USB is a transfer, not that kind of backup.

Are iCloud Photos included in my daily iPhone backup?

Not when iCloud Photos is enabled. Apple Support says those photos and videos sync to iCloud separately and are not included in the daily iCloud device backup, so check both settings and how you would recover the content.

What does an automatic iCloud device backup need?

Apple Support says iCloud Backup must be enabled and the iPhone or iPad connected to power and Wi-Fi with its screen locked. Check that the backup completes and that your account has sufficient storage.

What happens to Android backup if I stop using the device?

Google says backed-up device data is erased after 57 days of device inactivity, except photos or videos saved through Google Photos. Check which content is in device backup and which is in Google Photos before resetting or retiring the phone.

Does a NAS with RAID remove the need for another copy?

No. Synology recommends a backup approach with three copies on two storage media, including one off-site copy. Plan and test a separate backup destination rather than treating the NAS as your only recovery route.
