Who needs which kind of transfer?

Replacing a computer with a large file library

If photos, videos and documents need to move with you, measure the files you intend to keep and allow enough time to copy them. Which? describes external drives and cloud storage as transfer routes when moving to a new computer.

Preparing a device for donation or recycling

You need to preserve important files and confirm that the copy opens before removing personal information. Recycle Your Electricals advises backing up files before passing a device on; the Information Commissioner’s Office advises properly deleting personal data before disposal.

Moving a limited selection of files

If you only need selected folders once, check their size and the ports on both devices before choosing a USB stick. Which? notes that USB sticks commonly use Type-A or Type-C connectors.

What should you check before choosing storage?

Decide whether you need a lasting backup or a one-off transfer, then check space, connections and how you will confirm that the files can be opened.

ConcernWhat to checkWho this matters to
Archive capacity Measure the folders you will keep and allow headroom; check usable drive capacity or the space available in your cloud account. If I am keeping a large photo and document library, I need room for the files I cannot leave behind. Around 36% of consumers put archive capacity first.
Portable transfer Check ports and the required cable on both devices; treat advertised transfer speeds as conditional on compatible hardware. When I have a substantial library to move, I want a reusable drive that is practical to carry between computers. For around 29% of consumers, portable transfer is the primary need.
Verified backup and privacy Open files from the destination before erasing the source; check file-system and encryption requirements where applicable. Before I donate or recycle a device, I need to know my copy works and my personal data will not go with the old device. That comes first for around 21% of consumers.
Limited one-off transfer Check that a USB stick has room for the selected files and that its connector fits the intended devices. If I only need to take a few folders to another computer, I would rather choose for that task than for a full archive. Around 14% of consumers primarily need a limited one-off transfer.

A drive enclosure or adapter serves a different situation: the storage has already been removed from the old computer. Check the removed drive’s interface and form factor, the enclosure’s connection and whether you have any encryption credentials needed to read the files. An enclosure is not a substitute for data-recovery help with a failed drive.

Mistakes to avoid before handing over a device

  • Buying storage before sizing the files

A drive or cloud account may fill before the intended copy is complete. Crucial notes that some labelled drive capacity is used after formatting; cloud-account space is separate from free space on the computer.

Measure the folders you intend to keep, leave headroom and check the space available at the destination.

  • Assuming USB-C guarantees the quoted speed

The connector shape does not establish what the drive, cable and computer port can achieve together. Samsung’s stated maximum speeds for the T7 Shield require compatible USB 3.2 Gen 2 hardware and cables, with UASP enabled.

Check the port and cable specifications on the devices you will use, rather than choosing by a peak speed alone.

  • Reformatting the only copy

Apple says a Windows-formatted disk may need reformatting before use with Time Machine, permanently removing the files already on it.

Keep and open another copy of important files before reformatting a disk or setting up encryption that requires erasing it.

  • Assuming a completed copy is ready to rely on

Finishing a transfer does not show that every file you need is present and accessible on the replacement device or service.

Open representative documents, photos and videos from the destination, confirm any account or recovery information you will need, and only then follow the old device’s erase guidance.

Relevant storage brands for reference

Samsung

Its T7 Shield line is relevant when comparing compact portable SSDs with model-specific protection features.

  • Samsung UK states maximum T7 Shield read and write speeds of 1,050MB/s and 1,000MB/s under its specified USB 3.2 Gen 2 and UASP conditions.
  • Those speeds depend on the host and cable. Samsung’s water, dust and drop claims concern specified models and do not replace a second backup.

Crucial

Its X10 line is relevant when comparing portable SSD capacities for a larger file library.

  • Crucial lists X10 capacity options up to 8TB and claims sequential reads up to 2,100MB/s for the line.
  • Crucial says compatibility and performance can vary with the host and formatting; check the exact capacity and intended devices.

Seagate

A brand to consider when comparing external hard drives for a capacity-led local archive.

  • Which? includes Seagate in its UK external-drive coverage and describes hard drives as suited to long-term computer-file backup.
  • That route-level guidance does not establish how a particular Seagate model performs; check its capacity, connection and warranty individually.

Joybuy drives for local backup and transfer

These portable SSDs and one external hard drive are choices for keeping a local copy or moving files to another device. Check the space you need and compatibility with both devices; you can also consider cloud storage separately if you need an off-device copy.

Frequently asked questions

Should I back up files before resetting or recycling an old device?

Yes: copy important files and check that you can open them before erasing the old device. Recycle Your Electricals advises backing up before passing a device on, and the Information Commissioner’s Office advises properly deleting personal information before disposal.

Can a USB stick hold everything I need to move?

It can handle a limited selection if its usable capacity covers those files and its connector works with both devices. For a larger library or an ongoing backup, compare an external drive or cloud route instead; eject removable storage safely after copying.

Can I use one external drive for Windows files and a Mac backup?

For file transfer, check whether both computers can read and write the drive’s file system. Time Machine has a separate requirement: Apple says it cannot back up to a Windows-formatted disk, and reformatting that disk for Mac backup permanently removes its existing data.

Will free cloud storage be enough for a move to a new PC?

It may be enough for selected folders, but compare their size with the space in your account. Microsoft Support states that a free Microsoft account includes 5 GB of OneDrive storage, with additional capacity available if needed.

Is a factory reset the only privacy step before handover?

Do not rely on a reset alone without following the instructions for your specific device and checking your backup first. Recycle Your Electricals notes that older Windows devices may need additional deletion steps, while the Information Commissioner’s Office advises properly removing personal information before disposal.
