Who this is for

People replacing an iPhone, iPad or Android phone

Check how photos, contacts, messages, settings and app data move to the new phone, and identify anything the platform does not restore. Apple Support and Google Help describe different backup and restoration coverage.

Families protecting valued photos and documents

Keep copies that can still be reached after loss, theft, device failure, accidental deletion or replacement, rather than relying on files held on one device. This follows National Cyber Security Centre and ICO guidance on backups and cloud storage.

Mac and Windows households moving large libraries

Use a practical local transfer route, but check that the drive format works with every computer involved and remember that formatting can erase files already on the drive. Microsoft Support and Apple Support set out these transfer and format considerations.

Buying priorities

Start by listing the files and settings that matter, then choose a route that covers them and works with both the old and replacement device.

Priority What to check Your needs
Backup coverage Check whether photos are synchronised separately, which folders are copied, and whether settings, app data and contacts can be restored. Android restoration varies by phone and Android version. I need to know whether I am making a file copy, synchronising selected files, or preparing a replacement-device restore.
Capacity and ongoing access Compare the full library size with the included allowance or drive capacity. Review paid-plan renewal and cancellation terms before relying on a cloud service. My photos, videos and documents need enough room to complete a backup without leaving part of the library behind.
Privacy and account control Review account protection, folder-sharing permissions and the provider's privacy information. The ICO notes that cloud files are stored on servers controlled by the provider. I want to control who can view or share family documents and photographs held online.
Ports and file formats Confirm ports, cables, card readers and external-storage support on both devices. Check the drive format before copying; Apple notes that formatting erases existing data. I need a transfer medium that connects to both devices and can be read and written by the operating systems I use.

Mistakes to avoid

  • Treating synchronisation, device backup and copied folders as the same thing

These methods can cover different information. Apple says iCloud Backup excludes data already synchronised to iCloud, while Google's new-device transfer does not copy every data category.

List the photos, documents, contacts, messages, app data and settings you need, then confirm a recovery route for each before removing data from the old device.

  • Buying removable storage before checking ports and drive format

An Android cable transfer may need an adapter, and a drive shared between Mac and Windows needs a compatible file system. Reformatting changes the file system but erases the drive.

Check the ports, card-reader availability and operating systems on both devices before purchase, and copy existing files elsewhere before reformatting.

An adapter or replacement drive may be needed if the chosen storage cannot connect or uses an incompatible format.

  • Assuming the free cloud allowance will cover a growing library

Apple and Microsoft list 5 GB free allowances for iCloud and OneDrive respectively, while Google states 15 GB of free Google Account storage. Photo and video libraries can exceed an included allowance.

Measure the library before choosing a tier, review renewal and cancellation terms, keep payment details current, and retain another copy before changing or cancelling a service.

A larger paid storage tier may be needed as the library grows, and payment interruption can affect access.

  • Using a USB flash drive or SD card as the only Mac Photos library location

Apple warns that storing a Mac Photos library on removable media such as an SD card or USB flash drive can lead to possible data loss.

For a Mac Photos library, use an appropriately formatted external drive and keep another copy of important originals.

Relevant platform and brand references

Apple

Relevant for iPhone, iPad and Mac users using iCloud Backup, iCloud Photos and Mac-compatible external storage.

  • Apple states that iCloud Backup restores device information and settings not already synchronised to iCloud, while iCloud Photos handles photos and videos separately.
  • Automatic iCloud Backup requires power, Wi-Fi and a locked screen. Apple lists 5 GB of free iCloud storage, so check that photos and device backups fit the allowance.
  • For a Mac Photos library on an external drive, Apple specifies APFS or Mac OS Extended (Journaled) and advises against USB flash drives or SD cards for that library.

Google

Relevant for Android users using Google Account backup and Google Photos for account-based photo access and device replacement.

  • Google states that Android data can be backed up to a Google Account and restored to the original or another Android phone.
  • Restoration varies by phone and Android version. Downloads such as PDF files, hidden-folder media, non-Play-Store apps and non-Google accounts can be excluded from new-device transfer.
  • Google Photos can automatically save photos and videos to one Google Account for access on signed-in devices.

Microsoft

Relevant for Windows households using Windows Backup and OneDrive, or File History and external storage for local file copies.

  • Microsoft states that Windows Backup can cover selected files, settings, installed apps and Wi-Fi information through a Microsoft account.
  • File History can back up key Windows folders to an external drive or network location, and Microsoft supports file moves to a new PC using USB storage, SD cards or external hard drives.
  • Check whether every required folder and non-file setting is included in the chosen backup method. Microsoft lists 5 GB of OneDrive storage for a free Microsoft account.

Frequently asked questions

Will cloud storage move everything to my replacement phone?

Not necessarily. Apple Support says iCloud Backup includes information and settings not already synchronised to iCloud, while iCloud Photos synchronises photos separately. Google Help says Android restoration varies by phone and Android version, and some items such as Downloads, hidden-folder media and non-Play-Store apps can be excluded. Check the backup summary and replacement-device setup screens before erasing or trading in the old phone.

When will I need an adapter or file-system check for removable storage?

Check the physical ports on both devices before buying storage. Google says an Android cable transfer may need an adapter if the cable does not fit both phones. For Mac and Windows use, Apple lists FAT and ExFAT as Windows-compatible formats and specifies ExFAT for Windows volumes over 32 GB; copy files elsewhere before reformatting because formatting erases the drive.

Can I use a USB flash drive or SD card for a Mac Photos library?

Apple advises against storing a Mac Photos library on removable storage such as an SD card or USB flash drive because of possible data loss. For a Photos library on an external drive, Apple specifies APFS or Mac OS Extended (Journaled), and says that drive cannot also be used for Time Machine backups.

What should I check for privacy before uploading family files to cloud storage?

Review who controls the service, its security and availability information, and whether folders are private, shared or public. The ICO says cloud files are held on servers controlled by the provider; use a strong unique account password and check sharing settings before uploading sensitive personal documents.

Do UK consumers have a cancellation period for an online cloud-storage subscription?

For a service contract or digital content not supplied on a tangible medium, Regulation 30 of the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 states that the normal cancellation period ends 14 days after the contract is entered into, unless an exception applies. Check the provider's current terms for the service and circumstances involved.
